Overview

Gmail gives you the option to access your account using IMAP and POP3 settings, which are compatible with Outlook. You must first enable these settings in Gmail, however, and then configure Outlook to recognize them. Read on to learn how to enable Gmail Outlook settings and then how to set up Gmail on Outlook.

Configure Your Gmail Settings

As stated, you must first enable your Gmail settings to work in Outlook.

If you do not yet have a Gmail account set up but would like to start one, read the Bright Hub article How to Set Up a Gmail Account.

Log into your email account and click Settings at the top right side of the page. Click Forwarding and POP at the top of the settings window. Select Enable POP for all mail if you want your Gmail Outlook settings to include email messages that you have already received or select Enable POP only for mail that arrives from now on if you want to set up Gmail on Outlook only for new email messages.

Click the Save Changes button and close your Gmail account.

How to Set Up Gmail On Outlook 2003

Now that you have the correct Gmail Outlook settings, you need to go into Outlook to set it up to receive your Gmail messages, which steps will vary depending on which version of Outlook you are using. These steps will show you how to set up Gmail on Outlook 2003.

Open Outlook, go to the Tools menu and select Email Accounts.Click the Add a New Email Account button and click Next. Select POP3 and click Next again. Type your name as you want it to appear when you send an email to someone into the Your Name box. Type your complete Gmail email address into the Email Address box. Make sure you include the @gmail.com extension.

Enter the following Gmail Outlook settings under Server Information:

  • Type pop.gmail.com into the Incoming Mail Server (POP3) box
  • Type smtp.gmail.com into the Outgoing Mail Server (SMTP) box

Type your Gmail email address into the User Name box. Again, be sure to include the @gmail.com extension. Type your Gmail password into the Password box and select the Remember Password check box.

Select More Settings and go to the General tab. Type Gmail under Mail Account. Go to the Outgoing Server tab and select the My Outgoing Server (SMTP) requires Authentication check box. Choose Use Same Settings as My Incoming Mail Server. Go to the Advanced tab and select the This Server Requires an Encrypted Connection (SSL) check box under Incoming Server (POP3) and Outgoing Server (SMTP). Type 465 into then Outgoing Server (SMTP) port field and make sure the Incoming server (POP3) port number is 995.

Click OK and test your Gmail Outlook settings by clicking the Test Account Settings button. When you have successfully set up Gmail on Outlook, click Next and then click Finish.

These steps will show you how to set up Gmail on Outlook 2007.

Open Outlook, go to the Tools menu and select Account Settings. Click New. Select Microsoft Exchange, POP3, IMAP, or HTTP and click Next. Type your name as you want it to appear when you send an email to someone into the Your Name box. Type your complete Gmail email address into the Email Address box. Make sure you include the @gmail.com extension. Type your Gmail password into the Password box and select the Remember Password check box.

Select the Manually configure server settings or additional server types check box and click Next. Click Internet E-mail, select E-mail and then click Next again. Many of the Gmail Outlook settings that you entered previously, such as your name and email address, may be carried over into this section. Make sure they are accurate
