Little Known MS Word 2007 Keyboard Shortcuts

There are many keyboard shortcuts for MS Word 2007, but there are some that are known only to geeks and not the average user. Well, here are some of the little known Word 2007 keyboard shortcuts. With these shortcuts, you can easily format paragraphs, change the font size and case of the highlighted text and repeat an action.

Keyboard Shortcuts for Single Space and Double Space

These two nifty little shortcuts can add single and double space between two or more lines.

  • Hold down the Ctrl key and press 2 to add double space between sentences.
  • Hold down the Ctrl key and press 1 to add single space.

Quick Case Conversion

With Word 2007 installed in your PC, you can easily change the case of the written text. No need to use the Format menu, use the little known shortcut Shift + F3 to change the case.

First select the text and hold down the Shift key and press F3 to convert the text to uppercase, lower case or title case.

Change Font Size of the Highlighted Text

To quickly change a font size, use these MS Word 2007 keyboard shortcuts:

  • Highlight the text and hold down Ctrl and Shift keys together
  • Then click on either the < or > key to set the font size smaller or larger.

To change the font size by 1 pt increment/decrement, use the little known shortcuts of Ctrl+ [ to decrease and Ctrl +] to increase.

Soft Breaks

If you are typing a document with bullets and hit Enter, you will get to the next line with a bullet as well. To start a new line without a bullet, use this little-known shortcut Shift+Enter.

Repeating an Action

In MS Word 2007, there’s a little known shortcut F4 that can repeat the last action performed. This comes in use when you have made a sentence or word italics, bold or underlined it, and want to apply the same formatting to another word or sentence. Hit F4 and the previous effect will be applied again.

Note that if you need to apply both Font and Paragraph formatting; only the Font formatting will be repeated. To copy/paste more detailed formatting, you can use the Format Painter tool to copy and re-apply all formatting to the text.

Paragraph Formatting

To format a paragraph, just click at the end of the paragraph and press Alt + Shift + Right Arrow or Alt + Shift + Left Arrow. You will notice that the entire paragraph turns bold, italics or uses any of the styles you see at the Home ribbon.

Clear All Formatting

You might apply different formatting to the different parts of your text. What if you want to remove (clear) formatting from the text? The quickest way to do this is by pressing the little known shortcut Ctrl + Shift + N on the selected text (press Ctrl + A to select all text)

To remove formatting of the portion of a text, highlight the text and press Ctrl +Space. It will remove all the formatting applied to the highlighted text.

Creating Your Own Keyboard Shortcut In Ms Word

Now that we are familiar with many MS Word 2007 keyboard shortcuts, we still might want to have our own custom keyboard shortcuts. Here is how to create a new keyboard shortcut:

  1. In Ms Word 2007, Click the Office button located at the top left corner of the document.
  2. Click Word Options.
  3. Click Customize on the left side bar.
  4. Click on the Customize button beside keyboard shortcuts
  5. Select the category and command and type in the new shortcut key in the Press New Shortcut Key blank space.
  6. Create a new keyboard shortcut by pressing combination of keys (ALT or Ctrl must be one of the keys). For example: Ctrl + 7, Alt +G or Ctrl+shift+Y.
