Beware of Overusing Project Management Templates

Using project management templates is like a double-edge sword. While these templates can help save time and money, overusing generic templates could lead to certain dangers. Thus, the usage of such templates should be done very carefully.

The purpose, need, and budget of the project decide whether templates would be beneficial or detrimental for the project. This article explains the advantages of using such templates. Further, it also takes a look at the threats or dangers that can be faced if such project management templates are overused.

Advantages of Using Templates

Firstly, by using such templates one can save on time, as one does not have to think of a specific layout/design/color. In fact, all three elements are laid out for use and all that needs to be done is insertion of content and images. Thus, one can save on time greatly and can complete the information in just a few minutes.

The second advantage of using such a template is that it can save on the cost of hiring a professional graphic designer. Designing visual aids digitally is not an easy task and often requires the input from a professionally trained individual. The individual is not only trained, but is imaginative and patient. Thus, this talent fee (can be significantly high in accordance to experience) can be eliminated by using these generic templates.

The next advantage of using such templates is that many times, a business needs more than one document. Thus, using such standard templates is economical as well. Moreover, it allows for a certain standardization over the templates.

Finally, the last advantage is that using such generic templates allows choosing from a variety of designs and layouts. Numerous designs are available to choose from. This means that template designs and perspectives are not just limited to one designer.

Disadvantages of Using Templates

With advantages, come disadvantages too. The biggest disadvantage of using generic project management templates is that it limits the creativity of the user. When templates are used, users only utilize those templates that they have access to. The choices are limited and so is the look of the overall product!

These generic templates are not unique at all. Several people would have already used it. Moreover, the colors or the layout cannot be altered or edited. For a unique template design, one would have to spend some amount of money.

Limited creativity could also result in boring presentations. Using the same layouts and designs for the templates could bore the audience. Most would feel they have already seen it, even though the content is new. Owing to this, many may also ignore the new document completely.

Many times, these generic templates do not look good when they are stretched. For example, in a template where there is space for 500 words and the user inserts 700 words, the template layout may change. Thus, generic templates put limitations on the text input that needs to be made.

Templates work great for static pages. If this template is for a website and the website needs to be changed or edited regularly, one needs to build a simple template.

Other disadvantages include: These templates eat up lot of space on the server. In addition, they might infringe on copyright issues. Finally, many of these templates come with their source file unknown. Users do not have access to the source files putting the end-user at a major risk or reliability.
