Project Management within the healthcare sector has made the organizational setup of hospitals more coherent and effective. The demand for project management professionals is huge in health care industry and in this regard, the approach has become more administrative.

It is usually implemented in order to attain notable changes in almost all areas of its management. Similar to other fields, project management has become an essential part of the health care services sector. This has facilitated the development of the existing setup of a hospital. In hospitals, project management covers a large number of areas and elements. The main elements include scope management, human resource management, quality management, communication management, management of accounts and finance, and risk management. An efficient project management team in a hospital effectively communicates with the hospital team (which includes the hospital administration, human resources department and also all the other staff) and constantly updates its members regarding the day-to-day activities.

There is huge demand for project management professionals in the health care sector. A project management team that can understand all the problems faced in a hospital plays a key role in managing the day-to-day activities. A project is designed to deliver the right output at right time with appropriate expenditure. In hospitals, the project management is wrapped with different types of activities. The project management team analyzes the objective, events, and the results on the basis of the achieved goals. Moreover, it tracks and reports the progress achieved. The activities of the team also include the estimation and allocation of the resources. The project identifies and controls the changes occurred.

In most hospitals, the team has a manager who is responsible for the human resource department. He/she regularly updates the health authorities, maintains and organizes health meetings, and reports about all hospital activities and objectives achieved. The team uses different types of tools for improved functioning. Some of these tools are project evaluation and review techniques chart (PERT), Gantt and run charts, financial tools, project cycle optimization, online project health-check (or PH check) tools, event chain diagrams, etc.

Importance of Project Management Software in Hospitals

Project management software tools help in effectively organizing the hospital business. These tools help in the management of cost and budget, allocation of resources, management of communication and tasks, and documentation of administration systems. The software detects whether the project is on track and the user is able to store and archive all the project files. Further, it gives a clear picture of the project (i.e., on what should be done and the present status of activities). Project management software tools combine multiple software tools such as expense planning software, time tracking software, and project planners.

Project management software tools provide a lot of useful information regarding the project. The software updates regarding how the project is actually progressing in comparison to the plan. At times, it promptly warns the administrative team about the upcoming risks in a particular project. In complex hospital project schedules, there is a series of events that depend on each other (critical path). The duration of this critical path determines the actual length of the project. In a hospital setup, the project management software can be implemented in many ways such as on a desktop or as a collaborative system (helping multiple users to modify different areas of the project), or as an integrated system (which combines project management with many other aspects of the hospital). The software is easy to use, helps in better project reporting, and also increases customer satisfaction with an improved visibility on projects, budgets, etc.

Hospital project management covers different sections of a hospital, for example, in construction programs (for building cost and budget management, for allocation of human resources, planning the start and end time of the decided work, risk management, etc.) or in disease management programs.

An efficient project management team will always work together toward attaining a motive. Therefore, the project manager must monitor the progress of a particular project, resolve issues among team members, and also see if the tasks are completed as per the schedule. At present, many hospitals consider project management as a key element that is necessary for their proper functioning.
