In Parts 1, 2 and 3 of this series on using Building Blocks to enhance productivity in Word 2007, we focused on creating your own Quick Parts. But, once your Quick Parts have been created, you can manage all of them (regardless of the Building Block category they have been saved in) within the Building Blocks Organizer.
To display the Building Blocks Organizer
, click the Quick Parts command found in the Text group on the Insert tab and choose Building Blocks Organizer from the menu. From here, you can preview, edit, or delete building blocks. Additionally, you can insert any of the displayed Quick Parts into your current document.
Editing a Quick Part
Quick Parts can be edited so much as they can be replaced with a new Quick Part. To edit an existing Quick Part (rather, replace it with new content), follow these steps:
- Insert the Quick Part you want to "edit" into a document and make your desired changes
- Select the Quick Part content in the document and display the Quick Parts menu (Insert tab: Text group)
- Choose Save Selection to Quick Part Gallery. This opens the Create New Building Block dialog box
- Type the original Quick Part name, being sure to select the same category and gallery
- Click OK
- When prompted to redefine the Building Block entry, click Yes
Deleting a Quick Part
You can delete a Quick Part by simply opening the Building Blocks Organizer (Insert Tab: Text Group: Quick Parts Command: Building Blocks Organizer). Within the Building Blocks Organizer, click the name of the entry you want to remove and then click Delete.
Deleting a Quick Part won’t remove the content from any document in which it already resides. However, it will remove the Quick Part from the Building Block Organizer eliminating its availability in future documents.
