To begin, click the View tab located above the Ribbon. On the Ribbon are five sections: Document Views, Show/Hide, Zoom, Window, and Macros.
Document Views
- Print Layout. Simply put, this tool allows you to view the document as it would look if it were printed. This view is the most used.
- Full Screen Reading. This is one of my personal favorites. It gives you a two-page full screen view. Although the text doesn’t appear the same, it’s very helpful when working with lengthy documents.
- Web Layout. Allows you to see view your document as if it were a webpage.
- Outline. Displays your document as if it were an outline. When choosing this view, the Ribbon will change and display Outline View options. To close the options panel click the big red X located at the end of the Ribbon.
- Draft. With this view the text is larger. This is to help with editing and making any changes.
Show/Hide
Here you can choose which of the following tools you would like to be visible on your screen. The tools are:
- Ruler. This shows the layout of your document and allows you to set tabs, indentions and margins.
- Gridlines. These are actual grey gridlines that appear in the background of your document. These lines are for alignment purposes.
- Document Map. Opens in a pane allowing you to view and navigate the document according to heading or section.
- Thumbnails. In the side pane there are thumbnail images of each page for easy browsing.
- Message Bar. If there are any instructions, or important information concerning the document, it would be located here.
Zoom
You can set the exact amount you would like to zoom in on your document, or you can choose one of the already pre-set zoom options: 100%, One Page, Two Pages, or Page Width.
Window
This tool allows you to open a duplicate window of the one you are currently working in, or manage other open windows. The actions pretty much speak for themselves.
Macros
A drop down menu will appear giving you the options to view your current macros and record new macros.
There are different views for different work styles. Find which view best fits you and you can save yourself a lot of time!
